Hiring manager email templates

Three short emails for after you apply: an introduction and two follow-ups. Fill in the fields to personalize them, then copy. Nothing you type leaves your browser.

Introduction after applying

Subject: [Role] application — [Your name]

Hi [First name],

I just applied for the [Role] role at [Company] and wanted to introduce myself directly. [Your most relevant result]

I'd welcome the chance to talk about how I could help [Company]. My resume is attached, and I'm happy to share anything else that would be useful.

Thanks,
[Your name]

First follow-up

Subject: Re: [Role] application — [Your name]

Hi [First name],

Following up on my note about the [Role] role. I'm still keen and would be glad to talk through how I could help [Company].

Is there a good time for a short call?

Thanks,
[Your name]

Final follow-up

Subject: Re: [Role] application — [Your name]

Hi [First name],

One last note on the [Role] role. If the timing isn't right, no problem — I'd appreciate being considered for similar roles at [Company] later.

Thanks,
[Your name]

How to personalize them

  • First name: use the hiring manager's name if you can find it. Our guide on how to find the hiring manager covers where to look.
  • Your most relevant result: one sentence that matches what the job ad asks for, with a number if you have one. For example: "I cut our month-end close from 10 days to 6 by automating reconciliations."
  • Length: keep the introduction short enough to read in a minute. Attach your resume rather than repeating it.
  • Subject line: keep the role and your name in it so it's easy to find. The follow-ups reply in the same thread.

Should you email the hiring manager at all?

It's a low-cost extra step, not a shortcut. There's no solid evidence that a cold email guarantees a reply, and none that a polite one hurts an application you submitted properly. Our guide on emailing the hiring manager after applying goes through the evidence and when it's worth doing.

When to send them

Send the introduction right after you apply, and the follow-ups 3 and 7 business days later. The follow-up date calculator works out the dates.
